OASIS system now handles course, school withdrawals online

The days when withdrawing from a class meant long lines for students and tedious paperwork for staff and instructors are over.
Beginning this semester, students will withdraw from classes using the OASIS computer system--a change that will make the process faster and easier and also improve collection of data for certifying enrollments, says registrar Gary Moore.
The university allows students to drop a class without penalty through the fourth day of the semester for fall and spring terms. The number of days of drop/add for the summer term varies depending on the session.
Beyond that, students must follow the procedure for one of two types of withdrawals--a university withdrawal or a course withdrawal.
A university withdrawal occurs when a student withdraws from all classes and leaves the university. About 350 students typically use this procedure each fall semester.
Course withdrawals occur when a student withdraws from one or more courses but remains in school. About 22,000 course withdrawals are processed each year.
Both procedures previously required students to fill out paper forms that had to be circulated among staff members in Student Affairs and the registrars office, as well as the academic departments and instructors for the affected classes.
Instructors can give students who use either procedure a grade of either W (withdraw) or WF (withdraw/fail). Withdrawal after the midpoint withdrawal deadline automatically results in a WF (except for health or emergency reasons). The registrars office is usually flooded just before mid-term by long lines of students frantically trying to beat the deadline for withdrawing without receiving a WF.
Moore says all withdrawals will now be initiated and processed electronically through the OASIS system, which students already use to register for classes. Students can initiate a withdrawal from any computer connection to the universitys mainframe computer system. The data will be circulated electronically among affected departments and instructors.
The new procedure will tell students the consequences of reducing their courseload, such as possible effects on eligibility for financial aid or athletic competition, or potential for academic dismissal. The procedure will give instructors more timely notification of withdrawals and will also make reporting of enrollment data more timely, Moore says. |
