Returning Resident Room Sign-Up


 

Returning Resident Room Sign-Up for 2010-2011 will begin on December 1, 2009 for all on-campus residents.

New in 2010-2011!

As we have done in the past three years, we will continue to provide returning students with some flexibility in living in East Campus Village.
  • Rooker Hall will return to 11.5 month contract cycle beginning with Fall 2010.
  • Residents of ECV Building 1512 will commit to a nine month contract ending in May 2011.
  • All 2010-2011 residents of McWhorter, Vandiver, and Roocker will continue to have contracts ending in August 2011.
  • University Housing is opening the New Residence Hall at East Campus (Building 1516) in Fall 2010. Located adjacent to East Campus Village, Building 1516 will be the fourth residence hall to comprise the Reed Community, providing traditional double and single rooms with private bath accommodations geared toward non-first year, undergraduate students. As UGA's first "green" residence hall, this new building will be a signature space that offers convenience to services in the heart of East Campus while promoting environmental responsibility. UGA Housing staff will lead information sessions in each community to answer residents' questions about any aspect of the Returning Resident Room Sign-Up Process. Any student may attend any session!

Dates & Process Information: Critical dates and deadlines for Returning Resident Room Sign-Up 2010, with sections for:


Participant Selection and Priority Determination: In consultation with the UGA Housing Assignments Office, the student leaders of the Residence Hall Association developed this process for deciding which students will be selected to participate in Room Sign-Up, as well as the priority for space selection. This process is explained in this section.

Note: All communication to students regarding Room Sign-Up will be sent to the student's UGA e-mail account. Students are expected to check their e-mail regularly for important information.

 

Dates & Process Information:

On-Campus Residents:

Room sign up for 2010-2011 will begin on December 1, 2009, when returning students can register to participate through the Housing Web site. Students must register between December 1, 2009, and January 24, 2010, or they will not be eligible to participate in Room Sign-Up. Those students who are selected will be notified via e-mail and have a non-refundable $75 charge posted to their Student Account. While non-refundable, this charge will be applied toward the $275 fall semester prepayment that is required to activate a new housing contract. This prepayment will be due by February 10, 2010. Students who do not pay this $75 charge will be dropped from the process.

Any student not initially selected to participate will be automatically placed on a waiting list and notified by e-mail.

On January 25-26, 2010, the Housing Assignments Office will compile residents' UGA GPA and UGA credit hour information from the University mainframe. Students are advised to resolve any grade changes or "incompletes" by this date. All communication to students regarding Room Sign-Up will be sent to the student's UGA e-mail account. Students are expected to check their e-mail regularly for important information.

Phase 1: Request to Participate

December 1, 2009: Students can begin requesting to participate in Returning Student Room Sign-Up online at the Housing Web site.

January 24, 2010: LAST day for students to request to participate in Returning Resident Room Sign-Up 2010. Students who do not request housing by midnight on this date will not be eligible for consideration in the sign up process in February.

Phase 2: Student Selection & Fee Payment

January 25-26, 2010: The Housing Assignments Office will determine who will be eligible to participate in Returning Resident Room Sign-Up 2010 based upon the total number of requests received, the number of spaces available for upperclass students and the number of UGA hours earned by each resident.

January 27, 2010: All students who were selected to participate in Room Sign-Up will be notified via e-mail and have a non-refundable $75 charge posted to their Student Account. While this charge is non-refundable, the full $75 will be applied toward the $275 fall semester prepayment that is required to activate a contract with UGA Housing. The $275 prepayment will then be applied toward fall rent.

Residents who were not initially selected to participate in Returning Resident Room Sign-Up 2010 will be automatically added to a waiting list and notified by e-mail.

February 10, 2010: Payment of the non-refundable $75 charge will be due at the Bursar's Office by the end of normal business hours. Students who do not pay the $75 charge will not be eligible to continue in the Room Sign-Up process. Students who do pay the $75 charge by this due date will be assured a living space in UGA Housing in 2010-2011.

Phase 3: Room Selection & Final Prepayment

February 12, 2010: Students who did not pay the $75 charge will be removed from Room Sign-Up by UGA Housing. As students are removed from the process due to non-payment of the $75 charge, those residents who have been waitlisted will be contacted by UGA Housing via UGA e-mail in order of waitlist ranking.

February 12, 2010: Students who paid the $75 charge will be notified via UGA e-mail of their ability to:

  • Participate in Same Room Sign-Up Day on Tuesday, February 16.
  • Participate in Same Hall Sign-Up Day on Wednesday, February 17.
  • Participate in Appointment Time Sign-Up Days on February 18 and 19 by selecting from any available space on campus that has not been reserved for incoming first-year students or a special program using an assigned appointment time.

All three of these sign-up options will be accessed through OASIS during normal operating hours.

February 16, 2010 — Same Room Sign-Up Day:
Any student who has been selected to participate, paid the $75 Sign-Up fee and wishes to remain in his/her current assignment during the 2010-2011 academic year may access OASIS on this day at any time during normal operating hours to sign up to live in the same space.

Notes:

  • Some returning students may be unable to select their current assignments due to spaces being held for entering first-year students or a special program.
  • Boggs, Brumby, Church, Creswell, Hill, Lipscomb, Mell, Morris, and Russell Halls will not be available for Returning Student Sign-Up. In addition, rooms in other halls are reserved for special use and incoming first year students and are not available. Students whose rooms are not available will be notified by the end of January regarding their room status.
  • In Payne Hall, only students in single rooms will be able to sign up for their current space during Same Room Sign-Up.

February 17, 2010 — Same Hall Sign-Up Day: Any student who has been selected to participate, paid the $75 Sign-Up fee and wishes to remain in his/her current building during the 2010-2011 academic year may access OASIS on this day at any time during normal operating hours to sign up to live in the same building if space is available. Students already residing in any East Campus Village hall may sign up for a room in any East Campus Village hall on this date.

Notes:

  • Some returning students may be unable to select their current building due to spaces being held for entering first-year students or a special program.
  • Boggs, Brumby, Church, Creswell, Hill, Lipscomb, Mell, Morris, and Russell Halls will not be available for Returning Student Sign-Up. February 18-19 — Appointment Time Sign-Up Days: Students may log in to OASIS at any time between their assigned appointment time and the end of normal operating hours on February 17 to select any available space on campus that has not been reserved for incoming first-year students or special programs.

February 22: The balance of the prepayment, $200, will be posted to the Student Accounts of all students who selected a room during Room Sign-Up. Housing contracts will also be available for students to view and activate at this time. The balance of the prepayment must paid and the contract activated by March 10.

Also on this date, access to the Fall 2010 Assignment Change Request Web site will open at 9:00 a.m. on the UGA Housing Web site. This site should be utilized by anyone who successfully secured a space on campus, but hopes to make a move to a different room, hall or community. Click here for waiting list sign-up.

March 10, 2010: Payment of the remainder of the fall semester prepayment, $200, will be due at the Bursar's Office. Housing contracts must also be activated by this date. Any student who fails to make this payment OR fails to activate their contract on this date will be dropped from the process and their space will be made available to a waitlisted student.

Phase 4: Fall Waitlist Participants

February 12, 2010: Any student who was not selected to participate in Phase 1 and still desires housing for the following academic year will be placed on the Fall Waitlist. As cancellations are received and vacancies identified, students on the Fall Waitlist will be notified via e-mail of any change in their status. Once they become eligible for housing, they will be contacted and a non-refundable $75 charge will be immediately posted to their Student Account. While this charge is non-refundable, the full $75 will be applied toward the $275 fall semester prepayment that is required to activate a contract with UGA Housing. The $275 prepayment will then be applied toward fall rent. Payment of the non-refundable $75 charge will be due at the Bursar's Office by the date determined by the Bursar.

Off-Campus Students:

Students who currently do not live in a university residence hall, but are attending classes at the Athens campus, or students who have taken academic term(s) off, have a separate Room Sign-Up process. Students who are involved in an academic program away from campus should refer to the Policies for UGA Students Currently in Academic Programs Off-Campus section listed below.

Off campus students can register for housing beginning January 8 , 2010, by completing the housing registration form and paying the non-refundable $35 registration fee in the UGA Housing Assignments Office in Russell Hall. Students will be assigned an OASIS appointment time based on the date of their registration for housing for 2010-2011.

March 19, 2010: On this date, all off-campus students who have requested on-campus housing will be notified of their status.

Students Participating in Off-Campus Academic Programs:

All students in programs away from the UGA Athens campus, including those studying abroad or participating in the National Student Exchange, during the room sign-up period are eligible to sign-up during the appropriate period as indicated below. Students must complete the steps outlined below in order to participate. All sign-up is conducted online via OASIS. This sign-up process is for on-campus housing beginning fall 2010. Students interested in on-campus housing for spring 2011 only should contact the Housing Assignments Office in September 2010 for more information.

The Department of University Housing confirms the status of all students studying abroad through the Office of International Education and students in the National Student Exchange with UGA Campus Life. All students studying away from campus must be registered with the appropriate office to be eligible for this special consideration.

The Department of University Housing will correspond with students using the UGA MyID as an official means of communication; please respond utilizing your UGA e-mail account.

Students who are currently studying away from campus and wish to live in the residence halls during fall 2010 at UGA upon their return must follow the guidelines below.

SCENARIO I
For students who resided in the residence halls the semester immediately prior to their participation in a UGA approved study program:

Prior to January 15, the student must update his/her housing registration by e-mailing the following information to the housing e-mail account: housing@uga.edu with the Subject:
Room Sign-up for Study Abroad and National Student Exchange

Include the following in the body of the e-mail:

  • ATTN: Ms. Mary Patman
  • Your Full Name
  • Last four digits of your ID/Social Security Number
  • State that you are applying for fall 2010
  • Phone/cell phone contact number
  • Additional contact information (an alternate source, e.g., a parent)
  • Top 3 Hall Preferences

Housing preference in Rutherford Hall is based on acceptance to the Franklin Residential College (FRC). If you are interested in this program, please apply via the FRC Web site, http://www.uga.edu/frc.

Unlike the automated process described above, the student's request for housing will be manually entered by Assignments Office personnel. The student will then be contacted with an OASIS appointment time or notification that he or she has been added to a waiting list. If an appointment time has been issued the student may then utilize the automated Sign-Up system beginning with Phase 3 of the process for on-campus residents.

There is no registration fee for students who meet the criteria stated above.


SCENARIO 2
For students who have not resided on campus before, or who did not reside in the residence halls the semester immediately prior to their participation in a UGA approved study program:


Students must register and pay the $35 fee. Students currently studying abroad may not register using the online registration system. Please contact our office to request a housing registration form be sent to you.

Include the following in the body of the e-mail:

  • ATTN: Ms. Mary Patman
  • Your Full Name
  • Last four digits of your ID/Social Security Number
  • State that you are applying for fall 2010
  • Phone/cell phone contact number

Participation Selection and Priority Determination

If more students request to live on campus than there are spaces available, the Housing Assignments Office will select students to participate in Returning Student Room Sign-Up based on the following system:

Part 1 — Data Capture: In late January, the Housing Assignments Office will compile the following information from the University mainframe:

  • Each student's UGA-earned credit hour information
  • Each student's UGA grade point average

Students are advised to make sure any grade changes or incompletes are resolved by this time. Also, please note that credits and/or grades earned through exemptions, Advanced Placement coursework, testing or transfer from other institutions will not apply. Only hours and grades earned at the University of Georgia are considered.

Part 2 — Classification & Ordering: Using the data captured in Part 1, students who requested to participate in Returning Resident Sign-up will be grouped into academic classifications based on the number of credit hours that they have earned at UGA:

Classification Hours Earned
First-year Less than 30 hours
Second-year At least 30 hours
Third-year At least 60 hours
Fourth-year At least 90 hours
  • Within each classification, the list of residents will be put in order of largest to smallest based on number of UGA credit hours earned.
  • Residents with the exact same number of UGA credit hours will be ranked UGA grade point average from highest to lowest.

Part 3 — Selection of Participants: The proportion of spaces in UGA Housing currently occupied by members of each classification group will determine the percentage of spaces that will be allocated to each group for next year. These spaces will then be granted to residents based on their ranking within the classification — the exact number of UGA credit hours earned and grade point average.

All students who are selected to participate in Returning Resident Room Sign-Up will have a non-refundable $75 charge posted to their Student Account and be notified via e-mail.

All students who request to participate in Returning Resident Room Sign-Up but are not initially selected will be automatically placed on a waiting list and notified via e-mail.

All of the students selected to participate in Returning Resident Room Sign-Up will be granted appointment times in the OASIS system. Those students who pay the non-refundable $75 fee by the deadline may then select their spaces in one of three ways:

  1. Participate in Same Room Sign-Up Day.
  2. Participate in Same Hall Sign-Up Day.
  3. Participate in Appointment Time Sign-Up Days by logging into OASIS at any time between their assigned appointment time and the end of Appointment Time Sign-Up Days to select any available space on campus that has not been reserved for incoming first-year students or a special program.

Appointment times are prioritized based upon the following system.

  1. All participating students are ranked in order of the number of semesters already spent living in UGA Housing.
  2. Residents with the exact same number of semesters lived in UGA Housing will then be sorted from highest to lowest based on UGA credit hours earned.
  3. Residents with the exact same number of hours earned will then be sorted from highest to lowest based on UGA credit hours earned.

Please note that all students selected to participate in Returning Resident Room Sign-Up will have a space available to them. This ranking process is only used to determine the order in which those students who were selected to participate in Returning Resident Room Sign-Up get to select their spaces.
