Policies and Procedures
Building Access Information
Access to your assigned residence hall is gained with a valid UGA ID Card through the biometric hand reader. You must have your hand scanned at the Tate Center UGA Card Office during their normal business hours. Upon swiping your ID card and scanning your hand, the door will temporarily unlock for you to gain access. All residents are required to show their IDs to the Desk Assistant upon entry. Call the Hill Community Office during regular business hours in order to report problems with your ID.
Check-In Procedures
Students must have identification to check into their assigned space. Parents, relatives, or other guests may not check in for the student. Check-in takes place in the lobbies of Oglethorpe house and Hill hall at the beginning of the year and is moved to the desk after 5:00 pm. Residents may also check in at the community office during the year.
Check-Out Procedures
DURING THE ACADEMIC YEAR
1. Arrange a check-out time with the RA. If the RA cannot be reached, you should come to the 24 hour desk or community office so that arrangements with another staff member can be made. Remove all belongings and clean the room. The resident and the RA check the room against the Room Inventory Card for damages. If there are any damages, they will be noted on the Inventory Card. The damage charges will be assessed by housing personnel. Failure to pay damage costs will result in the flagging of the resident’s records and transcripts.
2. Fill out a Forwarding Address Card. This provides the mail room staff with the correct address to use when forwarding first class mail.
3. Return the room key to the RA
LEAVING AT WINTER BREAK AND END OF THE YEAR
1. Go on-line by clicking here.
2. Schedule a check-out appointment through the webpage.
3. Clean out your room and remove all of your belongings.
4. Meet the staff member at your room on the selected date and time to complete the check-out.
EXPRESS CHECK-OUT (available at Winter Break and the end of the year)
1. Move all of your belongings out of your room and make sure your room is clean.
2. Fill out an express check-out form at the front desk.
3. Hand the form with your keys to the Desk Assistant.
4. Fill out a Forwarding Address Card.
Final check-out for each semester will be indicated on posted notices and in distributed informational memos which will be delivered by email or by means of the RA. Residents should make their travel plans accordingly in order to meet the deadline so they will not be assessed late check-out charges.
Appeals for damage charges must be sent via email to: ntryman@uga.edu
Fire Evacuation
In case of a fire alarm, all individuals in the building MUST EXIT the building IMMEDIATELY. All students need to move a minimum of 50 feet away from the building and out of the way of fire safety personnel. Residents are to cooperate with all housing staff and emergency personnel. After evacuating the building, please report to your designated area. Your Resident Assistant(RA) should identify this location at the first floor meeting.
Keys: Lost/Stolen
Lost or stolen keys should be immediately reported to the Hill Community Office between the hours of 8:00am – 5:00pm. After hours, please report lost or stolen keys to one of the 24 hour desks so that the lock can be changed.
Keys: Temporary Check Out
If you have misplaced your key you may check out a temporary key. If you do not think you will recover your key, you must request a lock change through the Hill Community Office. If you fail to return your key within the 72 hours, your lock will be changed automatically. There is a $45.00 charge for a lock security fee and new keys will be issued to you and your roommate. You may check out a temporary key up to six times without penalty. After this, you will be charged $5 per check out. This fee will be billed to your student account. Students should carry there keys with them at all times and never loan them to another person, in the interest of safety for you and your fellow residents. If you have any questions regarding the key polices please contact your RHD or the Hill Community Office.

Temperature Control
Oglethorpe House:
Has a central air conditioning and heating system. If the temperature in your room is uncomfortable, please follow the work order procedures.
Church and Boggs Halls:
Boggs and Church Halls have window-mounted air conditioning units. These units are yours to adjust as you feel necessary, but here are some helpful hints that may help you to keep your room more comfortable:
- Keep windows shut while the air is on.
- Do not attempt to plug the unit into any electrical outlet other than the one directly beneath the window.
- Do not plug anything else into the AC outlet. This may cause a power failure within your room. This outlet is also disabled when the heat is turned on.
- Do not run the unit any higher than necessary to keep the room comfortable. Doing so may cause the unit to freeze up.
Boggs and Church Halls operate on a steam-based heating system during the winter months. During these months, the air conditioning units in the buildings will be disabled in order to prevent electrical shortages and damage to heaters and air conditioning units.
Hill Hall
Hill hall has central heating and air conditioning systems and the thermostat is located on the wall next to your door. Fan speed and temperature may be adjusted as necessary via these controls.
Mell and Lipscomb Halls have heating and air conditioning units located in each room.
