Policies and Procedures
Building Access Information
Residents must carry their University ID at all times and must have a valid sticker affixed to their ID. Residents are allowed to pass-through the access system six times without question, and after that point they will be subject to disciplinary action. Should residents have problems with a biometric hand scanner, they should notify the Community Office staff. Please refer to the Community Guide for specific information about the access system policies.
Check-In Procedures
Check-in for the Myers Community for Fall semester is held in the Myers Programming Room located on the first floor of Myers Hall for all buildings in the community (Mary Lyndon, Myers, Rutherford, and Soule Halls). Students may check-in at the front desk when the main check-in is not open. Students who do this must return the next business day to go through the formal check-in process.
Check-in after the academic term has begun may be done in the Myers Community Office located in Myers Hall 147. The hours of operation for the Myers Community Office are Monday-Friday, 8:00am-5:00pm. The office is not open on holidays or weekends.
Check-Out Procedures
When moving out, whether leaving at the end of the year, the semester, or just transferring rooms or buildings, residents must follow these procedures:
DURING THE ACADEMIC YEAR
1. Arrange a check-out time with the RA. If the RA cannot be reached, you should come to the 24 hour desk so that arrangements with another RA can be made. Remove all belongings and clean the room. The resident and the RA check the room against the Room Inventory Card for damages. If there are any damages, they will be noted on the Inventory Card. The damage charges will be assessed by housing personnel. Failure to pay damage costs will result in the flagging of the resident’s records and transcripts.
2. Fill out a Forwarding Address Card. This provides the mail room staff with the correct address to use when forwarding first class mail.
3. Return the room key to the RA.
LEAVING AT WINTER BREAK AND END OF THE YEAR
1. Go on-line to: https://www.housing.uga.edu/secure/HousingCheckout/resident.hml
2. Schedule a check-out appointment through the webpage.
3. Clean out your room and remove all of your belongings.
4. Meet the staff member at your room on the selected date and time to complete the check-out.
EXPRESS CHECK-OUT (available at Winter Break and the end of the year)
1. Move all of your belongings out of your room and make sure your room is clean.
2. Fill out an express check-out form at the front desk.
3. Hand the form with your keys to the Desk Assistant.
4. Fill out a Forwarding Address Card.
Final check-out for each semester will be indicated on posted notices and in distributed informational memos which will be delivered by email or by means of the RA. Residents should make their travel plans accordingly in order to meet the deadline so they will not be assessed late check-out charges.
Appeals for damage charges must be sent via email to: myersec@uga.edu
Fire Evacuation
Residents are required to exit the building if a fire alarm is activated. Failure to leave the residence hall during the activation of the fire alarm will result in judicial action. If a building alarm sounds residents are expected to exit the building in a timely fashion. The following locations are where residents of each building show go during a fire alarm:
- Mary Lyndon Hall: Go to the front steps of Rutherford Hall.
- Myers Hall: Go to the far end of the quad closest to Soule Hall.
- Rutherford Hall: Go to the front steps of Mary Lyndon Hall.
- Soule Hall: Go to the Myers quad.
In case of inclement weather; Mary Lyndon, Rutherford, and Soule Hall residents should report to the Myers Hall lobby. Myers Hall residents should go to the lobby of Mary Lyndon, Rutherford, and Soule Halls.
At the beginning of each semester there are fire drills held in each residence hall. These fire drills are announced at least 24 hours in advanced. Look for postings at the entry points of your residence hall for this notification.
Keys: Lost
Residents should carry their keys at all times. If a resident loses his or her key, the resident may request a lock change at the Community Office. The charge for a lock change is $45.00.
Keys: Temporary Check Out
A resident may check out a temporary key from the 24 Hour Desk for use for a maximum of 72 hours. Failure to return the key within the 72 hour period will result in a lock change and the resident’s student account being charged a $45.00 fee.
Mail
Mailboxes for all residents of the Myers Community are located in the Myers Hall entryway. Packages may be picked up from the mailroom staff during the hours posted on the mail room door which is located next to the Community Office, Myers 147. When picking up a package the resident must have their student I.D. as well as they package slip which is placed in the resident mailbox when the package arrives and is processed. No package will be distributed without proper I.D. and the accompanying package slip.
When a perishable item is delivered to the Myers Community Office (i.e. flowers, food, etc.) the student will be given a notice on their door. It is the resident’s responsibility to ensure this package is picked up in a timely fashion after receiving the notice.
Mail is delivered Monday - Saturday and is generally available by 4:00 p.m. Residents should use their room key to open the mailbox assigned them. If you lose your mailbox key or have any problems opening your mailbox, please see the Community Secretary. Mail should be addressed to:
