Operational Guidelines: Specific

  1. All requests submitted to and considered by OIR for response must fall within the mission statement of OIR -- to collect, organize, and maintain data and information necessary to University planning and evaluation, decision-making, operation, reporting, and analysis of significant issues.
  2. A priority for all requests received by OIR will be determined based upon consideration of the following criteria:
    1. Requesting unit, with priority of response being the President, Senior Vice President for Academic Affairs and Provost, Senior Vice Presidents, Vice presidents, Deans, and University committees
    2. Immediacy of need for data/information
    3. Resources demanded by request
    4. Complexity of project requested
    5. OIR's other active requests
  3. Since most requests received by OIR are from central administrative units, the costs of providing information, services, or products will continue to be absorbed by OIR. This is made possible and efficient because of OIR's extensive, routine use of operational data. Actual costs will be charged for requests lying outside of usual and routine OIR operations such as: right-to-know requests or requests related to litigation; large numbers of copies of reports or studies; services not routinely provided by OIR, e.g., copying disks, collating/compiling large reports; non-routine data entry/organization.
  4. Requests shall be submitted to OIR using the following procedures:
    1. President, Senior Vice President and Provost, Senior Vice Presidents, Vice Presidents: Requests shall be submitted by the individual or his/her designated representative(s). Requests estimated by the Director of OIR to be of sizeable consequence and/or significance or that will demand significant additional OIR resources shall be reviewed by the Senior Vice President for Academic Affairs and Provost.
    2. Deans: Requests shall be submitted in writing from the deans. Requests estimated by the Director of OIR to demand significant OIR resources shall be reviewed with the Senior Vice President for Academic Affairs and Provost for approval.
    3. Directors: Requests from directors shall be submitted in writing through the vice president or dean to whom the unit reports. When appropriate, such requests shall be submitted for the unit by the vice president or dean.
    4. Official University Committees: Requests from official University committees, e.g., those of the University Council, those appointed by the central administration (President, Senior Vice President for Academic Affairs and Provost, Senior Vice Presidents or Vice Presidents ), shall be submitted from the committee chair with a copy to the Senior Vice President for Academic Affairs and Provost, either through the appropriate administrator or directly to the Director of OIR.
    5. Non-Routine Requests: Requests submitted to OIR that are not routine may be submitted to the Director of OIR either verbally or in writing. At the discretion of the Director, such requests may be submitted to the Senior Vice President for Academic Affairs and Provost for approval.
